Employee - How to assign a substitute to my replacement request?

Assigning a substitute to a replacement request is a direct method that requires a prior agreement between you and the substitute. Here are the key points to remember and the steps to follow to complete this action. 


Before assigning a substitute


  • The assignment does not give the substitute the option to accept or decline the request;
  • Once assigned, the replacement is automatically added to the substitute’s calendar without availability verification;
  • Please ensure that the substitute has already confirmed their agreement to carry out the replacement.


Steps to assign a substitute 
  • Access the Absences module and click the New absence button;
  • Fill out the absence and replacement forms;
  • At the bottom of the page, click the Assign and submit button;
  • Using the dropdown menu, select the substitute you wish to assign and confirm your choice to finalize the assignment. 


Once the request is assigned, it will immediately be added to the substitute's calendar with an Accepted status, and the substitute will be notified of the assignment according to their notification settings. 



Caution, it is not guaranteed that the people displayed in the assignment list will be available. Always validate with the person in question before assigning them.
