Employee - How to fill out the replacement request?

The management of absences and replacements is essential to maintain the proper functioning of teams and ensure continuity in daily tasks. Being able to quickly report an absence or request a replacement not only facilitates internal organization but also guarantees that responsibilities are handled without interruption. 



Making a replacement request  

 

If you wish to be absent and be replaced, follow these steps:  

  • Access the Absences module and click on New absence ;
  • Fill out the form and click on Continue to access the replacement request section;
  • Once in the replacement section, click on Generate my schedule ;

 

  1. If your employee schedule is configured, your periods will automatically be displayed;
  2. If your schedule is not configured, the system will copy the times entered in your absence form.  


  • Select your specialty and, if desired, choose the replacement clientele from the drop-down menu;
  • If necessary, attach a planning by clicking Select and/or indicate where to find it in the field Where to find planning;
  • If the schedule is not automatically generated, you can enter free times or supervision times in the fields Free time and Supervision time;
  • We recommend adding comments for the replacement in the Comment field;
  • You can also write an internal note for the administration, hidden from substitutes, in the Internal Note field;
  • Once all the information is completed, click Submit.





To check the status of your replacement requests, access the Replacements module. You will be able to see if your request is waiting for a replacement or if a substitute has accepted it.

Making an absence request without replacement 


To make an absence request that does not require a replacement:   

  • Access the Absences module and click on New absence;
  • Fill out the form and click Continue to access the replacement request section;
  • Activate the No need to be replaced switch and click Submit

Your request will be visible in the Absences module with this icon indicating that it does not require a substitute.
