Administrative Support Staff - How to set up a calendar?

Select the Schedules and Calendars module, then choose the Calendars tab. 



 


Click on New Calendar.






Select the establishment for which you want to create a calendar, then choose the name and the start and end dates of the calendar. Please note that once the end date is passed, the calendar and all its schedules will be automatically deactivated. Activate the Active switch to indicate to the system that it should consider the schedules from this calendar. Then, click on Save



In the Name field, we recommend indicating the name of the establishment for which the calendar is created, along with the year covered by the calendar. For example: Scolago 2022-2023.


When the Restrict the period during which employees can modify their schedules switch is active, you can specify the dates within which employees are allowed to modify their schedules.





In this new menu, in the Date field, enter the dates of the public holidays and professional development days that you want to add to your calendar. Then, specify the type of leave (holiday or professional development) and indicate whether the system should apply the cycle day. Finally, click Add



You need to add the dates one at a time. The Holiday option is selected by default when creating a new leave date.

The Apply Cycle Day button shifts the cycle days that follow the holiday or professional development day.


Example for the education sector:

  • If you enable it: Day 1, Day 2, Professional Development, Day 4
  • If you do not enable it: Day 1, Day 2, Professional Development, Day 3


The leave dates you add will be placed in chronological order and automatically saved. You can delete dates by clicking on the trash can icon.





Save if necessary, then click on one of the two Close options when you have finished configuring the calendar. 




Some situations may require you to modify your calendar during the year, such as a snowstorm day. In this case, refer to this article: Administrative Support Staff - How to add a specific day to the calendar?.




You can now see the calendar you created. You can modify it by clicking on the pencil icon, or you can delete it by clicking on the trash can icon.




Caution, when at least one master schedule is associated with a calendar, it will no longer be possible to delete it, and the trash can icon will disappear. 


To display all the calendars for this establishment, activate the Show Disabled switch. 





A calendar must be associated with each establishment in your organization. However, instead of setting up a calendar for each establishment, you can copy an already created one. Simply select another establishment in the organization, then click on Copy from... under the Calendar tab to copy an existing calendar. 



From the window that opens, in the Establishment field, specify the establishment from which you want to copy the calendar. Then, select the name of the calendar you want to copy in the Calendar Name field.



Two options are available to you: you can either copy a calendar along with the master schedules associated with it, or only copy the calendar itself.
