Creating different tasks can allow you to automatically manage distinct situations, such as an employee's work period that does not require a replacement.
To create new tasks or modify existing ones, follow these steps:
Go to the Schedules and Calendars module in the Administration tab on the left menu.
Click on the Tasks option.
If you want to create a new task, click on Add a New Task. If you want to modify an existing task, click on the pencil icon next to the corresponding task.
A window will open, either called Create a New Task or Modify Task - [task name]. The windows are identical, except that the second one will contain the current settings.
The name of your organization will be automatically filled in.
Enter the name of your task in the second field, and choose a name that is easy for your staff to understand.
In the Task code field, enter the same codes if you are synchronized with the schedules. Otherwise, you can use any combination of numbers and letters.
The Add to personal events switch will add the periods to the employee's calendar. For part-time employees who are substituting, this will make them unavailable and prevent them from receiving replacement offers that conflict with this period.
The Generate a replacement period switch will automatically generate the period in the replacement request.
The Default task for the organization switch can only be activated for one task. Choose the one you want to appear by default when creating an employee schedule.
The Active switch allows you to activate the task.
The last setting allows you to choose a color for your task.
We recommend selecting colors that are easily visible in the Home module and using distinct colors for each task.
To do this, click on the current color and choose from all available options.
Click on Save.
Don't forget to inform your staff about each task to ensure proper usage.
From now on, employees will be able to choose from all the tasks in your organization when creating their employee schedule.
